From notebooks to Odoo: An electrical contractor's operational Overhaul
A full operational audit and ERP implementation that replaced paper-based processes with a unified system for a growing Fraser Valley electrical contractor.
The challenge
Complete Power is a certified electrical contractor servicing the Fraser Valley in British Columbia. They employ exclusively Red Seal-certified journeymen and top-tier apprentices, and have built a strong reputation through excellent customer feedback and collaboration with STEP.
But behind the scenes, operations weren’t keeping up with the quality of their work. Nearly everything ran on paper, verbal communication, and spreadsheets. Job details were often communicated the same day work was expected to start. Project data lived in scattered spreadsheets that made reporting and information sharing painful. Field notes — materials used, job details, photos — were scribbled in small notebooks and passed along to a designated person, with the constant risk of important details being missed or forgotten.
Time tracking was manual and unstandardised. Each team member recorded their own hours against each job with no consistent format. And inventory? Tracked entirely by hand in spreadsheets, with no system to flag shortages or manage stock levels. The whole operation was held together by good people doing extra work to compensate for the lack of systems — and that’s not sustainable when you’re trying to grow.
The solution
Cyberlobe conducted a thorough audit of Complete Power’s existing workflows and quickly identified the core issue: too many disconnected manual processes trying to do what a single integrated system should handle.
Rather than layering on siloed tools, Cyberlobe recommended three ERP options based on Complete Power’s operational needs. Odoo was selected because it mapped most closely to their underlying processes.
Cyberlobe also managed the vendor selection process, and served as Complete Power’s project manager throughout the entire implementation — always working on the client’s side.
The engagement focused on:
- Replacing handwritten field notes with a mobile app integrated directly into the ERP — capturing job details, project images, materials, and cost calculations digitally
- Implementing the project management module for standardised time tracking and resource utilisation monitoring
- Setting up centralised storage for seamless information sharing and collaboration across departments
- Integrating an inventory management module so materials used on each job automatically feed into project costing
- Eliminating manual data entry across operations to improve data accuracy and reporting
- Comprehensive training until the entire team was confident using every new tool
The result
Cyberlobe managed the full journey — from operational audit through vendor selection to implementation oversight — giving Complete Power a fully integrated ERP system without the headache of managing it themselves.
Key outcomes included:
- A complete transition from paper-based, manual operations to a unified ERP system (Odoo)
- Digital job management replacing handwritten notebooks and same-day verbal briefs
- Integrated inventory tracking replacing manual spreadsheet management
- Standardised time tracking across the team with full visibility into resource utilisation
- Centralised data and reporting across departments — no more siloed spreadsheets
- A trained team confident in using every module from day one
Complete Power went from running on paper and memory to operating on a single integrated platform — built to scale with them as they grow.
